We are looking to hire two junior staff members to work in the Globalization Program office and the Graduate Activities office at Venice International University.

The ideal candidates will have 1-3 years experience in:
- providing administration and organizational support to university programs
- dealing with international students and professors
- experience in event management and organization
- experience in web communications

Candidates should also have:
- excellent English, both written and spoken
- mother-tongue English speakers must be fluent in Italian, both spoken and written
- knowledge of other languages represented in the consortium would be a bonus (especially Japanese, Korean, Russian and Chinese)
- a strong aptitude for organizing and for team work
Candidates should be sensitive to issues of interculturality and know the city of Venice well.

Job Description:

We intend hiring two junior staff members. The following activities and responsibilities will be assigned between the two successful candidates based on skills, experience, aptitude and interest.

The successful candidate(s) will:

Communications and multi-media

  • Draft and publish original content about VIU activities, deadlines and news via VIU social media accounts on FB, Twitter, Instagram and LinkedIN, and share content from partner accounts,
  • Collate monthly statistics on engagement via social networks.
  • Coordinate calendar and shoot and edit video interviews of professors
  • Conduct video-interviews with students and interns
  • Upload videos to VIU YouTube channel and ensure VIU multimedia platforms are up-to-date.
  • Coordinate publication of student guide online (gather course descriptions and updated syllabi from professors, liaise with graphic studio, etc.)

Globalization Program Logistics

  • Provide support to students in obtaining entry visas and permessi di soggiorno.
  • Coordinate accommodations on and off campus for participants of Globalization Program. 
  • Coordinate accommodations in apartments in city for professors of Globalization Program.
  • Coordinate timetables: orientations, weekly schedule, exam schedule.
  • Ensure that classrooms and offices are correctly equipped and be available to give support with technical equipment during classes(if needed)  - liaise with tech staff

Globalization Program Co-curricular activities

Coordinate calendar of “Meeting Venice” co-curricular program including:

  • liaising with the professors regarding site visits relevant to their courses
  • making all bookings and logistical arrangements
  • communicating to the participants all logistical information
  • accompany the groups during the activities (if needed) 

Graduate Activities Program Support

  • correspond with interested candidates and selected students, sending invitation letters, Information notes, certificates
  • monitor and archive applications
  • arrange accommodation on campus, book appropriate space on campus, ensure that classrooms are correctly equipped, arrange catering services
  • welcome participants, organize social events, restaurant reservations, arrange site visits
  • collect lecturing materials, update the VIU moodle platfom, manage virtual sessions via Zoom
  • collect reimbursement paperwork
  • support the monitoring phase of the activities: evaluation survey, Statistics and Reports
  • draft and update webpages, brochures, calls for applications, announcements
  • liaise with graphic studio, provide the communication materials to the partner universities
  • update the VIU Communication calendar

VIU Events

  • Contribute to organization of Opening ceremonies and Closing ceremonies
  • Coordinate cycle of VIUlectures
  • Book appropriate space on campus, arranging catering services, restaurant reservations, publicity, invitations etc.

Administrative tasks

The successful candidate(s) will contribute to administration of the Globalization Program and/or the Graduate Activities by filing and archiving relevant documents and data in central servers according to VIU protocols.

The contract will be for one year initially and will be considered for renewal.
Some national and international travel may be required.
Salary will be considered based on the skills and experience of the candidates.
