Accommodation Agreement for Apartments coordinated by VIU 

This agreement must be accepted by all GP students who wish to accept the offer of a place in the apartments coordinated by VIU. 
This agreement constitutes the terms and conditions of accepting VIU's support in arranging accommodation but does not constitute the rental contract that will be signed with the owner of the apartment. 

VIU endeavours to find apartments for students that offer comparable standards of living. There will inevitably be some variance among the apartments. 
VIU is a non-profit association and does not take any fee or commission for supporting students in finding accommodation in the city of Venice.
VIU requests a fixed rate from the students so that all have equal access to the opportunity to book accommodation. The sums are then transferred to the owners/agents to pay for the rent as per the rental contracts.

VIU organizes the rent of apartments in Venice city center through real estate agencies or private owners. Apartments are located in different neighborhoods of the city and are quite similar as regards the size, the type of furniture and the benefits included. Apartments can usually host 4 to 6 students in twin rooms. A few places may be in single rooms. Places in single rooms (if available) are assigned by lottery among the students who have expressed their interest.

Men and women students will live together in the apartments, although shared rooms will be divided by gender. All students will share bathrooms.

General facilities and rules

  • The apartments are supplied with a fully equipped kitchen and Wi-Fi
  • A washing machine will be available in every apartment
  • Linen, towels and blankets are provided
  • No pets are allowed in the apartments
  • No guests are allowed in the rooms in the apartments in the city coordinated by VIU during the semester.
  • Smoking is strictly prohibited in the apartments, including your own bedroom
  • Noise levels should be kept to a minimum, especially after 10 pm out of respect for your neighbors
  • Apartment rules will be sent before departure, to be signed at check-in and respected throughout the semester.
  • The contract for the apartment and the key will be delivered at check-in. All keys must be returned at check-out.
  • A deposit equivalent to approximately one month's rent will be required when you check in. Utilities are usually deducted at the end of the contract from your deposit, after a meter reading with the owner/agency.
  • Reports of social activity (dinner parties, parties, and so on) in the VIU-arranged housing may be addressed with disciplinary measures from VIU
  • If you suspect that you may have Covid-19 symptoms, inform your roommates, and inform VIU (via email: covid19@univiu.org).

Cost of accommodation

The cost for the entire stay amounts to:

  • € 1,700  shared double room
  • € 1,925 single room (single bed) - ONLY if so assigned by VIU

 

This sum is not refundable. Utilities are not included. 

 

The VIU policy is to offer accommodation services to our students that are equal for all. This means that the cost per student (now differentiated by room type) will be the same, regardless of the contract value of the property. The cost of each apartment varies, but we have undertaken to find accommodations of similar quality for all VIU students who have requested accommodation services.
However, the rental contract will be between the individual students and the flat owner. VIU cannot enter into contracts with the owners directly as we would have to apply to the students 22% VAT for services. VIU is a non-profit and we do not, and cannot, take a commission on organizing the apartment rentals.

The cost of the accommodation includes:
monthly rent, contract registration, apartment block administration, Wi-Fi, waste collection taxes and other local taxes, agency commission + VAT.

Deposit 

A security deposit must be paid on arrival (ranging from €375 to €500, depending on the apartment).  The deposit will be returned in cash or via bank transfer on departure or shortly thereafter.

Utilities 

Not Included: caution deposit to give to the rental agent/house owner at your arrival and equivalent to around one month rent; utilities (cooking and heating gas, water, electricity), to be paid at the end of your stay to the rental agent/house owner (usually deducted from the deposit).

Check-in

Once the assignments to the apartments have been made, you will receive an email from VIU with information about the location of the apartment and how to get there.
We try to organize check-ins with all the flat-mates present; if arrivals are too different, check-in will be made with the first students to arrive. Keys, a copy of the contract and the regulation of the apartment will be given to you be signed, and together with the agent/owner, you will record the readings of the meters for the calculation of the utilities at the end of the stay. We recommend that you take a photo of the meters and save a copy. 

Check out

A few days before departure the owner/agent will visit the apartment to take a reading of the utility meters and to check the property for any damage.  
The amount payable for the utility bills will be calculated and deducted from the deposit. The owner/agent should provide copies of the utility bills.  
Any damage to property will be deducted from the deposit. If the deposit is not sufficient to cover the costs the difference will be asked from each tenant. 

Weekly house cleaning is the students’ responsibility. If you cannot guarantee a regular cleaning, you can ask the real estate agency/owner to arrange for weekly or monthly cleaning at your expense.

Although final cleaning is included for all apartments, there is also an expectation of responsible use of the apartment and its contents. At the end of the semester, the apartment must be left in good order, as you found it, otherwise, penalties will apply. The final cleaning fee is not inclusive of clearing out abandoned personal belongings, nor check-out rubbish disposal. If apartments are left in very poor condition the deposit will be withheld.
